Once the clinician has selected the preferred loupe, light, and frame, and the measurements have been taken, the final step is to complete the order correctly.
At this stage, accuracy is extremely important. A good consultation can still lead to problems if the order is submitted with missing or incorrect information.
The representative should carefully review and confirm all relevant details before submitting the order.
Product Details
The representative should confirm the final product configuration, including:
- loupe type
- magnification
- light type
- frame model
- frame size
- frame color
At this point, the representative should make sure that the chosen configuration matches what the clinician agreed to during the consultation.
Prescription Details
If the clinician has a prescription, it is essential to collect the most updated prescription available.
The representative should confirm:
- whether the clinician has a prescription
- whether the prescription is current
- whether it is for distance, near, intermediate, or multifocal use
As explained earlier in the course, the internal correction inside the loupes is mandatory whenever a prescription is needed.
The external correction in the carrier lens is optional and can be selected according to the clinician’s preference outside the loupe view.
External correction may be configured as:
- distance
- near
- intermediate
- multifocal, when appropriate
Because the prescription directly affects the optical system, it is important to make sure the information is accurate and up to date before submitting the order.
Personalization Details
Most clinicians choose to add engraving, so this should be confirmed carefully.
This may include:
- engraving on the frame
- engraving on the case
Spelling should always be checked carefully.
For frame engraving, the representative should also take into account:
- the exact spelling requested by the clinician
- the use of upper- and lower-case letters
- the fact that the available engraving space on the frame is limited
Because of this limitation, some longer names may need to be shortened or adjusted. The representative should confirm the final engraving exactly as it will appear before submitting the order.
Personal and Shipping Information
The representative should collect and confirm all personal and delivery details needed for the order.
This may include:
- clinician’s full name
- clinic or delivery address
- phone number
- email address
These details should be reviewed carefully to avoid delays or delivery problems.
Payment
The payment method should also be confirmed at this stage.
Depending on the market and local policy, this may include:
- deposit
- full payment
- installment arrangement or other local payment method
The representative should explain the payment process clearly and make sure the clinician understands the next step.
Final Review
Before submitting the order, the representative should do one final review of the full configuration, prescription details, and all personal information.
This final check helps prevent mistakes and gives the clinician confidence that the product is being ordered correctly.
